PA to Warehouse & Logistics Director
Cargo, Carlisle

Our Client have a great opportunity for a PA to the Warehouse & Logistics Director to join the Group.

The purpose of the role is to provide comprehensive administration support in a timely and proactive manner to the Warehouse & Logistics Director.

Responsibilities include:

Document preparation – Undertake general typing duties for internal and external use when required, using Word, PowerPoint, or Excel from hand written documents, electronic drafts or from notes taken during attendance at meetings
Communication – Preparing and conducting effective external and internal communication (incorporating letters, emails, memos, telephone calls etc), answering queries or redirecting calls, letters and emails as appropriate to ensure that all communication is dealt with promptly and effectively.
Diary Management – Short term and long term diary management, arranging both onsite and offsite meetings, venues and facilities including booking and setting up meeting rooms, hotel and travel and to co-ordinate the relevant documentation such as agenda, minutes and paperwork.
Travel Support – Confirmation of travel arrangements to include booking hotels, trains, flights, Visas etc (UK and International), completing relevant authorisation documents, whilst ensuring the best rates are achieved and operating within budgets.
Filing – maintaining and updating the filing systems.
Expenses/Cost Centre – Managing expenses and approving in a timely manner in line with corporate guidelines.Challenging colleague claims and input claims against weekly receipts. Liaison with finance if necessary to ensure costs are in line with budget and that any anomalies are resolved.
Management Monitoring – To track holidays, absence and movements.
Business Continuity Admin – Ensure teams cascade lists are up to date with contact details for new starters and leavers for trading.
Any other ad hoc duties as required.
Skills & Knowledge

Effective communicator both verbally and written
Excellent attention to detail
Able to work well in a busy environment and met required deadlines
Strong Word and Excel skills
Able to prioritise and manage own workload.
