Job Description
Our client is one of the world's biggest IT infrastructure service providers and it is currently looking for an Office coordinator who will be in charge of general tasks, Finance & Accounting and HR administrative task.
Job Description:
1. Administration (general):
Telephone assistance; Reception & deliver letters, cards, packages from/ to the company or any employee; Scanning contracts, take copies, send faxes; Provide information to other locations of the company; Help / assist foreign consultants for short or long term stay (provide all kind of information about the country, Make appointments at the hospital, arrangements for taxis & accommodation); Receive claims in general (from suppliers, from employees, etc) for all projects; Receive and send all bills reference of office to be paid to Financial Department; Buy office material;
2. Administration (finance &accounting):
Coordinate payments, send & receive bills /invoices for general services; Follow up payments and due dates for paying; Provide information for employee´s reimbursements (submit bills, information of policies in case of travel abroad); Ask for quotations and get approvals; Handling information related to MSAs/SOWs, contracts of suppliers; Send every month information of headcount
3. Administration (HR):
Handling a budget for TED (anniversaries, buying for special celebrations, end of year party); Provide support in policies; Coordinate information for admissions, documents; Handling business visas and work permit; Receive the documentation for the new employee and send to Human Resource Department (assisting on the filling up of health form) Receive payslips and hand in Inform process of termination contract: documents, terms of payment, etc.
Job Qualifications
Preferred profile:
2-3 years work experience Fluent English level Multitasking profile Able to work in an international environment
